Project Objectives:
Global Life Insurance, managing over a million contacts, faced a critical issue with their survey workflow. When distributing surveys via text, responses submitted through JotForm often couldn't be linked to the CRM (Customer Relationship Management) system and ActiveCampaign. This misalignment was primarily due to respondents entering incorrect or different email addresses than those already in the agency's CRM. The objective was to create a solution that reliably linked survey responses to the correct contact in the CRM.
Key Responsibilities:
- Analyze the existing survey distribution and response system.
- Design and implement a custom system to ensure accurate linking of survey responses to the correct contact information.
- Utilize metadata from text survey links to auto-fill essential hidden fields.
- Ensure smooth integration between JotForm, Zapier, and ActiveCampaign.
Solution Approach:
- Custom Survey Link Generation: Developed a custom link for the survey that included lead contact metadata, considering that contacts were being texted the survey link directly.
- Hidden Metadata Fields: Configured the survey such that when a contact clicked the survey link, their phone number was automatically inserted into a hidden field within the JotForm.
- Automated Response Linking: Upon survey submission, the system extracted the phone number from the hidden field to link the response accurately back to the contact in ActiveCampaign via Zapier.
Implementation:
- Custom Link with Metadata: Created dynamic survey links that embedded each lead's phone number as metadata, ensuring that the contact information was preserved when the survey link was accessed.
- JotForm Configuration: Modified the JotForm to include a hidden field for the phone number, ensuring automatic population upon link click.
- Zapier Integration: Built a Zapier workflow to pull the phone number from the hidden field after submission and used it to find and update the corresponding contact in ActiveCampaign.
- Testing and Validation: Conducted rigorous testing to ensure the system accurately captured and linked survey responses, and worked seamlessly in varied real-world scenarios.
- Documentation and Training: Provided detailed documentation and training sessions for the agency's team to ensure they fully understood the new system and could leverage its capabilities effectively.
